Position Summary:
The Unit Secretary is responsible for performing routine clerical and secretarial tasks to support the nursing unit. This role plays a key part in maintaining efficient operations and ensuring quality patient care through administrative support.

Responsibilities

Essential Functions

  • Serve as the unit receptionist, greeting and directing visitors, staff, and others in a courteous and informative manner
  • Transcribe physicians’ orders promptly, accurately, and in accordance with policy and procedure
  • Communicate consultation requests to physicians or therapists in a timely and accurate manner
  • Perform data entry and manage medical records, including assembling, compiling, and breaking down documentation
  • Prepare and copy designated medical records or information for transfer to other facilities
  • Answer incoming phone calls, route callers appropriately, assist with paging, take messages, and provide routine information
  • Respond to patient call lights in person or via intercom; fulfill requests or refer to appropriate personnel promptly
  • Communicate effectively in all interactions with patients, families, and staff
  • Work under the direction of the charge nurse to support unit operations
  • Assist in scheduling patient appointments
  • Operate and maintain knowledge of office and departmental equipment

Qualifications

Education/Training

  • High School diploma or equivalent required
  • Proficiency in keyboarding and working knowledge of Microsoft Word and Excel
  • Knowledge of medical terminology or Health Unit Coordinator Certification preferred

Licensure/Certification

  • None required
